# Manage Project Assignments for Your Team in FieldTime

> Assign employees to projects individually or in bulk so they can track time. Projects sync automatically from Deltek Vantagepoint.

Employees can only log time against projects they are explicitly assigned to. The Assignments page gives you a full view of every project in FieldTime and how many employees are assigned to each one. From here you can open a project to add or remove individual employees, or use bulk assignment to cover many projects in a single action.

  Project records — including phases, tasks, and prevailing wage data — sync from Vantagepoint. You cannot create projects in FieldTime.

## The Assignments page

Navigate to **Assignments** in the sidebar. The table lists every project synced from Vantagepoint, one project per row.

### What the columns show

| Column       | Description                                                         |
| ------------ | ------------------------------------------------------------------- |
| **Project**  | Project code (bold) and full project name                           |
| **Client**   | Client firm name from Vantagepoint                                  |
| **Org**      | Organizational unit that owns the project                           |
| **Type**     | Project type as defined in Vantagepoint                             |
| **Assigned** | Number of employees currently assigned to this project              |
| **Status**   | Active or Inactive badge                                            |
| **Actions**  | Manual Sync button to trigger an on-demand VP sync for this project |

### Sorting the list

Click any column header to sort by that column. Click again to reverse the sort direction. An indicator arrow shows the active sort column and direction. You can sort by project name/code, client, org, type, assigned count, or status.

### Searching and filtering

Use the **Search** box to find projects by code, name, or client name. Use the **Organization** dropdown to narrow the list to a single org. Both filters apply together and reset when you clear the search or change the org selection.

## Opening a project's assignments

Click any project row to open its assignment detail page. From there you can:

* See the full list of employees currently assigned to the project
* Add an individual employee to the project
* Remove an employee from the project

Use this view for targeted changes — for example, when one inspector joins or leaves a single project.

## Bulk assignment

  Use bulk assignment when onboarding a new team member who needs access to many projects at once.

Bulk assignment lets you select multiple projects and assign multiple employees to all of them in a single action. Duplicate assignments are skipped automatically, so running bulk assignment more than once is always safe.

### Selecting projects for bulk assignment

    Check the box at the start of each project row you want to include. Use the header checkbox to select all visible projects on the current page. Your selection persists as you page through the list.

    When one or more projects are selected, a blue banner appears above the table showing the count of selected projects. Click **Assign Employees** to open the modal.

### Using the Assign Employees modal

The modal is split into two columns:

    Shows every employee who is already assigned to at least one of your selected projects. Each row includes a coverage badge such as **3 / 10 projects** showing how many of the selected projects they are currently assigned to. A green badge means full coverage; amber means partial.

    Shows all active employees with a search box (name, employee ID, email, or title) and an **Org** filter. Check employees here to add them to your selection. Employees already assigned to every selected project are grayed out and cannot be re-selected.

### Completing the assignment

    In the **Active Employees** column, search by name, employee ID, email, or title. Optionally filter by organization using the **Org** dropdown.

    Check the employees you want to assign. Click **Select All** to select every eligible employee in the current filtered view, or **Clear All** to deselect them.

    Click **Assign Selected**. FieldTime creates assignments for every selected employee on every selected project, skipping pairs that already exist. The **Assigned Employees** column refreshes to show updated coverage, and the project list in the background refreshes its assignment counts.

    Click the ✕ button when you are done. Your project checkboxes remain so you can run a second assignment pass if needed, or click **Clear Selection** to start fresh.

### Understanding coverage counts

The coverage badge in both columns shows **assigned / selected** — the number of your currently selected projects an employee is already assigned to, out of the total you have selected. For example, if you selected 10 projects and an employee is assigned to 3 of them, their badge reads **3 / 10 projects**.

* **Green badge** — the employee is assigned to all selected projects (no action needed)
* **Amber badge** — partial coverage (employee can be assigned to the remaining projects)
* **Gray badge** — the employee has no assignments among the selected projects

## Removing an assignment

To remove an employee from a project, open the project's assignment detail page (click the project row), find the employee in the assigned list, and remove them. Use this when an employee transfers off a project or their work on it is complete. Removing an assignment does not affect any time already logged.

## Manual VP sync for a project

Each project row has a **Manual Sync** button. Click it to trigger an on-demand Vantagepoint sync for that project's phases, tasks, and prevailing wage determinations. The button shows **Syncing…** while the run is in progress and returns to **Manual Sync** when complete. A toast message confirms the result.

Use manual sync when you know Vantagepoint data for a specific project has been updated and you do not want to wait for the next automatic sync window.
