# FieldTime Notifications and Reminder Settings

> FieldTime sends push, browser, and email notifications for meal break reminders, timesheet deadlines, and approval status changes.

FieldTime keeps you informed about time-sensitive actions — from California-mandated meal break windows to weekly timesheet deadlines — through browser, email, and mobile push notifications. Admins can tune the exact timing of each reminder type so alerts arrive when they are most useful for your team.

## What notifications FieldTime sends

  <Card title="Meal break reminders" icon="utensils">
    Alerts fire before the 4.5-hour and 9.5-hour continuous-work thresholds, giving non-exempt employees time to start a compliant meal break before California labor law requires it.

    A reminder goes out each Monday morning prompting employees to review and submit their timesheet for the prior week before the approval window closes.

## Notification channels

FieldTime delivers notifications through three channels:

<Tabs>
  <Tab title="Browser / web push">
    Web push notifications appear as system-level alerts in your browser even when you do not have FieldTime open in an active tab. These notifications are delivered through **Novu** and require your browser to grant notification permission to the FieldTime web app.

    To enable web push in your browser, click **Allow** when FieldTime first asks for notification permission. If you dismissed that prompt, you can re-enable it in your browser settings:

    * **Chrome**: Settings → Privacy and Security → Site Settings → Notifications → find `fieldtime.gaitools.com` and set to **Allow**
    * **Edge**: Settings → Cookies and Site Permissions → Notifications → allow `fieldtime.gaitools.com`
  </Tab>

  <Tab title="Email">
    FieldTime sends email notifications to your registered work email address for approval status changes, revision requests, and timesheet deadline reminders. Email is the fallback channel when you are not actively browsing and have not enabled push.
  </Tab>

  <Tab title="Mobile push">
    If you use the FieldTime mobile app, notifications are delivered as device push alerts through **OneSignal**. You must allow push notifications in your device settings when prompted during app setup.

    * **iOS**: Settings → FieldTime → Notifications → Allow Notifications
    * **Android**: Settings → Apps → FieldTime → Notifications → turn on
  </Tab>
</Tabs>

## Adjusting notification timing (admins)

Admins control the lead time for clock-in, meal break, and clock-out reminders and the hour of the weekly timesheet reminder. To adjust these settings, go to **Admin → Notifications**.

| Setting                 | Default | Description                                                                              |
| ----------------------- | ------- | ---------------------------------------------------------------------------------------- |
| Clock-in lead minutes | 15 min | How many minutes before a scheduled shift start the clock-in reminder fires |
| Meal-break lead minutes | 10 min | How many minutes before the 4.5-hour or 9.5-hour threshold the meal break reminder fires |
| Clock-out lead minutes | 10 min | How many minutes before a scheduled shift end the clock-out reminder fires |
| Monday timesheet hour | 8 AM | The hour (0–23) on Monday morning when the weekly timesheet deadline reminder is sent |

After changing any setting, click **Save settings**. The new timing takes effect for all future notifications immediately.

## Managing your personal notification preferences

To enable or disable individual notification types for your own account, go to **Settings → Notification Settings** in the FieldTime web app. Toggle each notification type on or off — your preferences are saved automatically.

<Tip>
  Enable all notification types to ensure you never miss a meal break reminder or a timesheet deadline. Staying on top of both keeps your timesheets accurate and your firm compliant with California meal period requirements.
</Tip>

## Browser extension notifications

The FieldTime browser extension delivers notifications as native Chrome or Edge system notifications using the browser's `notifications` permission. This means you receive meal break and deadline alerts even when the FieldTime tab is closed, as long as your browser is running.

If extension notifications are not appearing:

1. Open your browser's extension settings and confirm the FieldTime extension is enabled.
2. Check that your operating system's notification settings allow browser notifications (on macOS, check **System Settings → Notifications → \[browser name]**; on Windows, check **Settings → System → Notifications → \[browser name]**).
3. Make sure you have not set the extension's notification permission to **Block** in your browser's site settings.

## Snoozing a meal break reminder

Meal break reminder notifications include a **Snooze 15 min** action button. Click it to dismiss the current alert and receive a follow-up reminder 15 minutes later. Snoozing does not waive any meal period obligations — it simply delays the reminder.
