# Log Your Work Hours with FieldTime Manual Time Entry

> Exempt (salaried) employees enter hours directly by date, project, and duration. Entries appear on your weekly timesheet automatically.

Manual Entry is the time-logging tool for **exempt (salaried) employees** who do not use the real-time Punch Clock. Instead of clocking in and out, you record the number of hours you worked each day along with the project, phase, task, and labor classification. All entries roll up to your weekly timesheet and are ready for compliance review and manager approval.

## Creating a Time Entry

  <Step title="Open the Time Entry page">
    Navigate to **Time Entry** in the main menu. You'll see the **Create Time Entry** form on the left and this week's entries listed on the right.

  <Step title="Select your project">
    Choose a project from the **Project** dropdown. Projects are grouped by type — Direct, Indirect, and Administrative — and filtered to only show the projects assigned to you. Selecting a project automatically pre-fills the phase if there is a default, and narrows the available labor classifications.

  <Step title="Choose phase and task">
    Select a **Phase** and, if applicable, a **Task**. Both fields are required when the project has phases and tasks configured. A red asterisk (\*) marks required fields.

  <Step title="Enter the date and hours">
    Set the **Start Date** for the entry. If you know your exact clock-in and clock-out times, enter them in the optional **Start Time** and **End Time** fields — FieldTime will calculate **Hours Worked** for you automatically. If you prefer, leave the time fields blank and type the hours directly (in 0.25-hour increments).

  <Step title="Record meal breaks (if applicable)">
    By default, the form includes a **Meal 1** section. Enter the start and end times for your break. If you had no meal break, check **No meal break**. For shifts over 10 hours, check **Add second meal break** to log a second break.

  <Step title="Select labor classification">
    Choose your **Labor Classification**. The dropdown is scoped to classifications permitted on the selected project. Prevailing-wage classifications are labeled in amber; non-prevailing-wage (straight-time) classifications are labeled in gray.

  <Step title="Add notes (optional)">
    Enter any relevant notes in the **Notes** field. Notes appear in the timesheet entry detail and are visible to your manager during review.

  <Step title="Save the entry">
    Tap **Create Entry**. The entry appears immediately in the week's entry list on the right side of the screen.

## Overnight Shifts

If your end date is later than your start date, FieldTime displays an **Overnight shift** indicator showing the date span (e.g., `2025-04-21 → 2025-04-22`). Hours and meal breaks are calculated across the date boundary automatically.

## Viewing Entry and Day Totals

The entry list on the right side of the screen shows all entries for the current week, grouped with a **Daily Summary** footer. Each day's total is highlighted in amber if it exceeds 8 hours.

* **Entry total** — shown in the Hours column for each row. If you entered clock times, this is the gross time minus any meal breaks.
* **Week total** — displayed at the top of the entry list. Includes all entries across Monday–Sunday for the current week.

## Editing an Existing Entry

Tap the **Edit** link on any entry in the weekly list. The form on the left switches to **Edit Time Entry** mode and pre-fills all fields from that entry. Make your changes, then tap **Update Entry**. Tap **Cancel** to discard changes and return to the create form.

You can also **Delete** an entry directly from the list. A confirmation prompt appears before the entry is permanently removed.

## Transferring Entries to Your Timesheet

Once you have added all your entries for the week, transfer them to your timesheet for compliance review and approval.

    Check the **Week of … Entries** panel to make sure all entries are correct and the week total looks right.

    Click the **Transfer Entries to Timesheet →** button in the blue panel at the bottom of the entry list.

  <Step title="Continue on the Timesheet page">
    FieldTime consolidates your entries and redirects you to the Timesheet page for that week, where you can run the compliance audit and submit for approval.

## Using the Browser Extension

If your organization has the FieldTime browser extension installed, exempt employees can create manual entries directly from the extension popup without opening the full web app. The same project, phase, task, and labor classification dropdowns are available in the popup, along with date and hours fields.

## Navigating Between Weeks

Use the **date picker** or the week navigation controls to log time for past or future dates. The entry list and daily summary update to show entries for the selected week. Transfers are always scoped to the week currently displayed.
