FieldTime’s Reports section gives administrators, project managers, and payroll staff a single hub for every data view they need — from weekly payroll summaries and DIR certified payroll to compliance exception reports and approval cycle-time analytics. All 20 report types pull live data from the same database that drives the timesheet workflow, so the numbers you see in a report always match what employees entered and what approvers reviewed. Every report can be exported to CSV for use in downstream payroll, billing, and labor-cost systems.
Report access is controlled by role. Admins can run every report for any employee or project. Project Managers can run all reports but results are scoped to the projects they manage. Payroll staff have access to all payroll and compliance reports across the organization. Employees do not have access to the Reports section — they see their own compliance findings directly on their timesheets.

Report categories

FieldTime organizes its 20 reports into five categories, each addressing a distinct operational workflow.

Payroll Processing

Weekly Payroll Summary — ST/OT/DT hours per employee per project with classification breakdown.Direct vs. Indirect Hours — Hours split by project type (direct/indirect) per employee with utilization percentage.Classification Hours Breakdown — Total hours by labor classification code across all employees and projects.

Prevailing Wage

Prevailing Wage by Project — Hours by project × classification × DIR determination period for direct projects.DIR Determination Reference — Active direct projects mapped to their applicable DIR period code, effective date, and expiration date.Certified Payroll — Per-employee, per-project hours by classification for a given week, ready for DIR certified payroll statements.

Compliance Controls

Overtime Exceptions — All OVERTIME-category findings, filterable by employee and severity.Meal Break Exceptions — All MEAL_BREAK-category findings for a date range.Compliance Findings Summary — Full cross-category view of all findings, filterable by category and severity.Unresolved Findings — Open findings across all employees, sorted by days outstanding.

Approval & Audit

Timesheet Status — Every timesheet in a date range with its current workflow status, step, and submission/approval timestamps.Pending Approvals — Timesheets waiting for action, grouped by workflow status.Approval Cycle Time — Days from submission to final approval, with revision counts.Late Submissions, Missing Timesheets, Amendment Log, Punch Clock Audit Log.

Project / Cost Management

Project Hours Summary — Hours by project → phase → task in an indented tree view.Employee × Project Matrix — Cross-tab of every employee against every project, with row and column totals.Phase / Task Utilization — Hours and employee counts by phase and task across all projects.

Running a report

Select a report from the sidebar

Open Reports from the main navigation. The left sidebar lists all 20 reports organized by category. Click any report name to activate it — the filter bar above the results area updates automatically to show the filters relevant to that report.

Set your date range or filters

Most reports require a Week Start date (Monday of the target week). The week end defaults to the following Sunday and adjusts automatically when you change the week start. Some reports accept an optional Week End override if you want to span multiple weeks.Optional filters — Employee, Project, Status, Severity, and Category — appear only when they are relevant to the selected report. Leave any optional filter blank to include all values.The Punch Clock Audit Log uses a free-form Start Date / End Date range instead of a week selector, because punch events often span multiple weeks.

Click Run Report

Click the Run Report button in the top-right corner of the report area. FieldTime fetches the latest data and renders it in a scrollable table. Large result sets are displayed inline — use horizontal scroll if the table extends past the viewport.

Export to CSV

Once results are loaded, the Export CSV button appears next to Run Report. Click it to download a flat CSV file. Each row in the export corresponds to one row in the on-screen table. Some columns that display combined information on screen (such as employee name with ID, or project with code) may appear as combined text in the CSV — use your spreadsheet application’s text-to-columns feature to split them if needed.

Compliance findings reports

The Compliance Controls reports give managers and payroll staff visibility into the full state of compliance across the workforce — not just their own timesheets.
  • Overtime Exceptions and Meal Break Exceptions show findings for a specific week, with employee, project, description, severity, and resolution status columns.
  • Compliance Findings Summary adds a Category column and a Rule Code column so you can filter to a specific rule (for example, all FIRST_MEAL_MISSED findings across the organization for the month).
  • Unresolved Findings shows every open finding with a Days Open counter that turns red after 7 days, helping you identify stale items before they become payroll problems.

Timesheet status report

The Timesheet Status report shows every timesheet in the selected date range alongside its current workflow step, submission timestamp, and final approval timestamp. Use this report to:
  • Identify timesheets that have not been submitted by the payroll deadline.
  • Confirm that all timesheets for a pay period are in APPROVED or LOCKED status before running payroll.
  • Spot timesheets stuck in IN_REVIEW or REVISION_REQUESTED that need follow-up.
Filter by Status to narrow the view — for example, set Status to DRAFT to see only timesheets that employees have not yet submitted.

Vantagepoint batch export

FieldTime generates a weekly batch export for Deltek Vantagepoint that contains approved and locked timesheet data formatted for VP’s time-entry import. The batch export is available from Admin → Vantagepoint Sync → Batch Export.

Select the export week

Choose the Monday of the week you want to export. Only timesheets in APPROVED or LOCKED status are included.

Review the export preview

FieldTime displays a summary of the timesheets and total hours that will be included before you finalize the export.

Generate and download

Click Generate Export to produce the VP-formatted file. The export log records the batch ID, the exporting user, and a timestamp. Re-exports of the same week create a new batch log entry for audit purposes.
The Vantagepoint batch export respects the VP WBS1, WBS2, and WBS3 codes stored on each project phase and task. Ensure project phases are synced from Vantagepoint before generating an export so that all time entries map to valid VP cost codes. Entries with missing WBS codes are flagged in the export preview.

PDF timesheet export

You can export any individual timesheet as a PDF for recordkeeping, client billing packages, or DIR certified payroll submissions.

Open the timesheet

Navigate to the employee’s timesheet for the target week (your own, or any employee’s if you are an admin or PM).

Export to PDF

Click Export PDF in the timesheet header. FieldTime generates a formatted PDF that includes the employee name and ID, project and phase/task breakdown, daily ST/OT/DT hours, any compliance findings summary, and the approval chain with timestamps.
All times in PDF exports are rendered in Pacific time (the FieldTime business timezone), consistent with the on-screen timesheet view. This ensures that PDF exports, compliance findings, and VP exports all reference the same business-day boundaries.
