Leave categories
Your administrator configures the leave categories available to your organization. Each category has a short code and a display name that appear on your timesheet. Common categories include:| Code | Name | Counts toward overtime? |

The exact categories available to you depend on your company’s configuration. Contact your administrator to add or modify leave categories.
Recording leave on your timesheet
Open your timesheet for the week
Navigate to Timesheets and select the week that includes the leave day. If no timesheet exists yet, FieldTime creates a draft automatically when you add your first entry.
Locate the Leave section
On the timesheet week view, scroll to the Leave & Time Off section below the project rows. Each active leave category appears as a row, with a column for each day of the week.
Enter hours for the leave day
Click the cell for the category and the day you were out. Enter the number of hours (for example,
8 for a full day or 4 for a half day). FieldTime validates that the value is between 0 and 24.To remove a leave entry, set the hours to 0 and save — the record is deleted automatically.Add a note (optional)
Some leave categories support an optional note field. Enter a brief reason or reference if your organization requires one.
Holiday calendar
FieldTime includes a company holiday calendar maintained by your administrator. When a recognized holiday falls within a timesheet week, FieldTime highlights that day and pre-fills the Holiday leave row with the default hours (typically 8 hours).- If your company observes the holiday, review the pre-filled hours and submit your timesheet as normal.
- If you worked on the holiday, you can override the holiday hours — enter the hours you actually took as leave and record your worked project time separately.
- If your role is not eligible for the holiday, your administrator can remove the pre-fill.
Holiday hours are pre-filled as a convenience. Always review them before submitting your timesheet — you are responsible for the accuracy of your leave entries.
How leave appears on your timesheet
Leave entries are separate from project time entries and carry their own category code. When your timesheet is approved and synced to Deltek Vantagepoint:- Each leave category maps to its corresponding charge code in Vantagepoint.
- Leave hours appear on your timesheet summary alongside your project hours.
- Leave hours are not added to any project budget — they post to overhead or benefit accounts as configured by your administrator.
