Project hierarchy
FieldTime mirrors the Vantagepoint WBS structure:Project
The top-level container. Identified by a WBS1 code. Each project has a client, organization, region, type, and status.
Phase
The second level (WBS2). A project can have many phases, each with its own code and name.
Task
The third level (WBS3). Tasks belong to phases and are the most granular unit employees select when entering time.
Project types

The Assignments page
Go to Admin → Assignments to view all projects. The table shows 25 projects per page.Filtering
- Search — matches project code, project name, or client name.
- Organization — filter by Vantagepoint organization.
Sortable columns

Per-project Vantagepoint sync
Each row has a Manual Sync button that triggers a one-project VP sync — it refreshes the project record, its phases, tasks, and PWD labor classifications from Vantagepoint without running a full sync. The button shows Syncing… while the job is in progress and returns to Manual Sync when complete.Assigning employees to a single project

The detail page has three tabs:Assigned Employees
Lists every employee currently assigned to the project. You can remove individual employees or select multiple and click Unassign Selected.
Employee Assignments
Lists all active employees who are not yet assigned. Select one or more and click Assign Selected to add them. Switch between Multi mode (checkboxes) and Single mode (radio buttons) depending on your preference.
Phases and Tasks
Shows all active phases and tasks for the project. Phase and task data loads on demand when you first open this tab. Use this view to verify the project structure before assigning employees.
Project metadata
At the top of the detail page, FieldTime shows a read-only summary of the project pulled from Vantagepoint:- Client, Organization, Project Type, Region
- Project Manager, VP Status
- RFP Date, Start Date / End Date
- WBS codes (WBS1 / WBS2 / WBS3), Charge Type, VP Org
Assigning employees
Open the Employee Assignments tab
Click Employee Assignments. Use the Search Employees box or the Org dropdown to narrow the list.
Select employees
Check the boxes next to the employees you want to assign. Click Select All to select everyone on the filtered list, or use Single mode to assign one person at a time.
Removing employees
On the Assigned Employees tab, click Remove on any row to unassign that employee from the project, or check multiple rows and click Unassign Selected.Bulk project assignment
Bulk assignment lets you add multiple employees to multiple projects in a single action — ideal when onboarding a new team or setting up a large engagement.Select projects
On the Assignments page, check the boxes in the first column next to every project you want to assign employees to. A selection banner appears at the top showing how many projects are selected.
Open Assign Employees
Click Assign Employees in the selection banner. The bulk assignment modal opens.
Review existing coverage
The left panel — Assigned Employees — shows employees who are already on at least one of the selected projects, along with a coverage badge (e.g., “3 / 5 projects”) indicating how many of the selected projects they are assigned to. A green badge means they cover all selected projects.
Select employees to add
The right panel — Active Employees — lists employees who are not yet assigned to all selected projects. Use the Search Employees box and Org dropdown to filter. Check the employees you want to add, or click Select All to grab everyone.
Auto-assignment for new employees
The Auto Assignments feature (under Admin → Auto Assignments) lets you define a list of projects that every brand-new employee is automatically assigned to the moment they are first created from a Vantagepoint sync.How it works
- When a Vantagepoint sync creates a new employee record, FieldTime checks the auto-assignment project list.
- It creates team assignments for the new employee on every active project in that list.
- The supervisor listed in Vantagepoint for that employee is set as the assignment supervisor. If no VP supervisor is found, the first active Admin user is used as the fallback.
Managing the auto-assignment list
Go to Admin → Auto Assignments. You can:- Add projects — search by code, name, or client, then add active projects to the list.
- Remove projects — remove a project from the list; this does not affect existing assignments.
- Backfill — apply the current list to all existing active employees who are missing any of the configured assignments.
Auto-assignment only runs for employees who are newly created during a VP sync. It does not retroactively reassign employees who already exist in FieldTime unless you run a manual backfill from the Auto Assignments page.
