Submitting your timesheet is how you hand off your weekly time record to your approvers. Before FieldTime will let you submit, it requires you to run a compliance audit and resolve all errors — this gate exists to catch problems early and maintain the accuracy that government-contract billing requires. Once you submit, your timesheet moves to the first step of the approval workflow and becomes read-only until it is either approved or returned for revision.
Make sure all your time entries are complete and assigned to the correct project, phase, task, and labor classification before you run the compliance audit. Running the audit and then editing an entry resets the gate, and you will need to run the audit again before submitting.

Submission steps

Review your time entries for the week

Open the Timesheet page and navigate to the week you want to submit using the Prev and Next buttons. Verify that:
  • Every day you worked has at least one time entry.
  • Each entry is assigned to the correct Project, Phase, Task, and Classification.
  • Clock-in and clock-out times (or manual hours for exempt employees) are accurate.
  • Meal breaks are recorded where applicable.
  • Leave hours (PTO, Holiday, etc.) are entered in the correct leave category rows.
Click any entry in the grid to open the Time Entry Detail panel on the right and make corrections before proceeding.

Run the compliance audit

Scroll down to the Compliance Audit panel and click Run Audit. FieldTime checks your entries against the following rule sets:
  • Overtime — daily and weekly hour thresholds under CA Labor Code §510.
  • Meal breaks — first and second meal break timing under CA §512.
  • Prevailing wage — DIR classification and shift-type requirements for PW projects.
  • Classification — missing or unrecognized labor codes.
The panel displays each finding with a severity level:

Resolve or acknowledge every Error finding before continuing. Some meal-break findings offer an Accept option that records a premium hour on your timesheet in lieu of a break.

Submit for approval

Once all errors are resolved and the audit is fresh, the Submit for Approval button appears at the bottom of the page.
  1. Click Submit for Approval.
  2. Read the Employee Certification statement in full. This certification attests that the hours you reported represent all time worked during the pay period — both direct project labor and indirect labor such as administration and overhead — and that the records may be used in support of government contract billings.
  3. Click I Certify & Submit to electronically sign and submit.
FieldTime records your electronic signature with a timestamp and IP address in the immutable audit trail. You cannot undo a submission — if you need to make changes, your approver must return the timesheet for revision.

What happens after you submit

After you click I Certify & Submit, FieldTime immediately:
  • Sets the timesheet status to Submitted.
  • Assigns a Project Manager approver to each time entry line based on the Vantagepoint project data.
  • Snapshots the current state of every entry so approvers can see a before/after diff if you make changes later.
  • Routes the timesheet to the first step of your firm’s approval workflow.
Your approvers receive a notification that a timesheet is waiting for their review. The timesheet banner on your Timesheet page updates to show the current status and the submission timestamp.
Your firm may set a submission deadline for each pay period (typically end of business on the Monday following the work week). Check with your supervisor or payroll administrator for the specific cutoff date at your firm. Timesheets submitted after the deadline may still be processed but could delay payroll.

Downloading a PDF copy

You can download a print-ready PDF of your submitted timesheet at any time.
  1. Open the Timesheet page for the week you want to export.
  2. Click Download PDF in the timesheet status banner.
The PDF includes your employee and project header, the full weekly entry grid with classification and hours, any compliance findings, the complete approval audit trail, and the employee certification block with your electronic signature timestamp. This document is suitable for record-keeping and for submission alongside certified payroll reports.
